Data we collect
Depending on how you deal with us, we may collect:
- contact details, including your name, email address and optional telephone number;
- the content of enquiries, support requests and other communications;
- artist, label, catalogue, release, recording, composition and rights information;
- account, contract, identity, payment, tax and royalty information where needed for a client relationship;
- delivery, usage, earnings, claims and performance data received from platforms and rights partners;
- technical information such as IP address, browser, device and site activity. Optional analytics data is collected only after consent.
We may also receive personal data from third parties, including distribution partners, digital service providers, collection societies and label partners with whom you work.
Please do not send identity, bank or tax documents through the public contact form unless we specifically ask for them through an appropriate channel.
Why we use it
We process personal data only where we have a lawful basis. The relevant basis depends on the activity:
- Contract: to assess onboarding, provide agreed services, administer releases, calculate royalties, manage accounts and communicate with clients;
- Legitimate interests: to answer business enquiries, operate and secure our services, maintain records, prevent fraud and protect legal rights. We consider the effect on individuals before relying on this basis;
- Legal obligation: to meet accounting, tax, sanctions, court and regulatory requirements;
- Consent: for optional analytics cookies and any activity for which consent is specifically requested.
Where information is required for a contract or by law, failure to provide it may prevent us from onboarding a catalogue, processing payment or providing the relevant service.
Who receives data
We disclose only what is reasonably necessary to categories of recipients such as:
- distribution partners, digital services, social platforms, rights organisations and collection societies;
- payment, accounting, tax, hosting, email, security and professional service providers;
- EmailJS, which transmits public contact form submissions;
- Google Analytics, only where the visitor has accepted analytics cookies;
- courts, regulators, law enforcement and other parties where disclosure is required or legally justified;
- a buyer or successor in connection with a genuine corporate transaction, subject to appropriate confidentiality and data protection measures.
We do not sell personal data.
International transfers
Music services operate internationally, so personal data may be processed outside the United Kingdom or European Economic Area. Where data protection law requires safeguards, we use an applicable adequacy decision or regulation, the UK International Data Transfer Agreement or Addendum, the EU Standard Contractual Clauses, or another lawful transfer mechanism. We assess transfers and apply supplementary measures where required. You may contact us for information about the safeguard relevant to your data.
How long we keep data
We keep personal data only for as long as reasonably needed for the purpose collected. Retention depends on the relationship, contractual requirements, platform reporting cycles, claims and applicable accounting or legal duties.
- unsuccessful or general enquiries are normally reviewed for deletion within 24 months;
- client, contract, royalty and transaction records may be retained after the relationship ends where required for accounting, tax, audit, dispute or rights administration purposes;
- catalogue and rights records may be retained while releases remain active and afterwards where needed to reconcile late reports, claims or takedowns;
- analytics retention is controlled in our Google Analytics configuration and the related cookies are described in our Cookie Policy.
Your rights
Subject to the conditions and exemptions in applicable law, you may request access, correction, erasure, restriction, portability or object to processing. Where processing relies on consent, you may withdraw it at any time without affecting earlier processing.
You have the right to object to processing based on legitimate interests and to direct marketing. We do not currently send public mailing-list marketing, but any future marketing message will include an unsubscribe method.
We normally respond to valid rights requests within one month. We may ask for information needed to verify identity. Requests can be sent to info@aimingmusicgroup.com.
Security and decisions
We use proportionate organisational and technical measures intended to protect personal data. No online system can be guaranteed completely secure.
We may use platform signals and internal checks to identify fraud or rights conflicts, but we do not make solely automated decisions through this website that produce legal or similarly significant effects.
Children
Our public website and services are directed to businesses and music professionals. A person who cannot enter a binding agreement must act through a parent, guardian or authorised representative. If you believe a child has provided personal data improperly, contact us.
Complaints and updates
Please contact us first so we can investigate a privacy concern. You may also complain to the UK Information Commissioner's Office at ico.org.uk.
If you are in the European Economic Area, you may also complain to your local supervisory authority. In Slovakia, this is the Office for Personal Data Protection of the Slovak Republic.
We may update this notice when our processing or legal obligations change. The current version and revision date will remain on this page.
